What should an HVAC inspection report include?

Every HVAC inspection report should cover these eight parts. Together they double as an HVAC inspection checklist your techs follow on every visit.

1. Technician and company information

• Technician name and license or certification number
• Company name, phone, email
• Date and time of the inspection

2. Customer and property details

• Customer name and contact
• Service address (the property inspected, not the billing address)
• Visit type: maintenance, tune-up, diagnostic, pre-purchase, pre-repair

3. System information

• Equipment type: split, package, heat pump, furnace, mini-split
• Brand, model and serial number from the data plate
• Approximate age, filter size, refrigerant type

4. Condition findings, component by component

Pass, needs attention, or fail for every item, with a note where it is not a pass. The list below is the standard residential set; add what your market needs.

5. Measurements

Return and supply air temperature and the split, static pressure, voltage, amp draw, capacitor reading against rated value. Numbers are what make a report professional, and what let you compare this visit to the next.

6. Photos

Each photo tied to the finding it documents. Ten unlabeled photos of an air handler mean nothing to a homeowner.

7. Recommendations and next steps

Each recommendation with an urgency: immediate, before next season, monitor. "Capacitor reading below rated value, recommend replacement at next visit, estimate attached" is a next step. "Keep an eye on the capacitor" is not.

8. Signatures

Customer and technician, with dates. If you documented a failing component and the customer declined the repair, the signature is your record that they were told.
